Documents are indispensable for users of different management systems, but the mere term “documentation” is a red rag to a lot of persons dealing with it.
According to (the German version of) Wikipedia, documentation is “the utilization of information for further use”. In terms related to norms and standards, for example in quality management, reference is made to so-called “documented information”. Following DIN EN ISO 9000:2015 – 3.8.6, this is any information which is helpful to a company and therefore needs to be managed, irrespectively of the medium.
This means that anything, for instance, a piece of paper, an electronic file, a video recording, a component, or a liquid, etc., can be a document in terms of the standard.
Very often, documentation is divided into documents that actually provide instructions and documents that serve as evidence, in other words, records. Any information that contains any “instructions” for implementing or processing things is – irrespectively of the medium – a document that provides instructions. For quality management, political decision-makers may actually mandate process descriptions right up to procedure or work instructions.
Documents that have been filled out and processed, such as incoming goods control reports that have been filled out, control charts that have been filled out, test reports, or audit reports, are referred to as records.
Those documents need to be managed in terms of the standard.
Many people will find the obligation to provide documentation bothersome in case the company uses the FMEA (failure mode and effects analysis). As to that, General Manager Dr. Scherb of PeRoBa Unternehmensberatung GmbH (PeRoBa Management Consultancy, LLC) provides the following recommendation, “Do describe solely the things you actually need and implement.” This means, don’t provide any unnecessary descriptions. Focus on your relevant documentation, and you will be perfectly positioned if you implement the following best practice approach, the “3-2-1 rule of documentation”.
As to that, the General Manager of PeRoBa makes reference to the “3-2-1 rule of documentation”. That means, “Your documentation can be described as excellent if you enable after 3 years a second person to explain things to another person”.

The new ISO 37301:2021 standard provides organizations with a powerful guide and guiding principle that clearly defines and demands requirements on the structure, implementation, maintenance, and continual improvement of a new or already existing compliance management system (CMS).
Other than with the previously valid ISO 19600, which contained merely recommendations and was to be seen more or less as just a guideline, companies can now obtain certifications on their compliance management systems due to the unequivocal requirements of the new standard.
Which advantages can be generated through a certification according to ISO 37301?
Thanks to the PDCA structure, the ISO 37301 standard can be integrated into similarly structured, customary management systems, like, for instance, ISO 9001, ISO 14001, or also ISO 45001.
Besides, a CMS according to ISO 37301:2021 is more than just supportive of those management systems since their requirements already include compliance requirements within the respective context(s).
Nonetheless, the new standard for compliance management systems has a special position across entire segments due to relevance and contents, as, other than previous management systems, it covers all the compliance risks of companies without any exceptions, and compared to other management systems, it can also ease the burden on businesses.
No! Companies which were oriented toward the previous DIN ISO 19600 are very likely to be well-equipped for the new challenges ahead.
In spite of that, a discerning examination of the existing compliance management system and an alignment with the requirements of the new standard are indispensable.

Munich: Remote Audits or Responsible Audits ™ will in future be an indispensable part of the world of auditing, as they provide an efficient and resource-saving method of auditing. With his book “Remote Audit – From Planning to Implementation”, Dr. Roland Scherb is now bringing a structured guide onto the market that serves as a working basis for auditors, quality managers and other decision-makers on the company side.
Remote audits are no longer a vision of the future. Special requirements for virtual remote audits have existed since 2010 and are constantly being adapted. Since the outbreak of the corona pandemic, the use of remote audits has increased steadily and many companies have therewith discovered valuable advantages and new perspectives. Remote audits can be a very good alternative to traditional on-site audits, but only if the preparation and implementation are appropriately qualified.
The author, Dr. Roland Scherb, today a management consultant from Munich, has been an auditor since 1994 and carried out the first “remote audit” back in 2005 with the help of a telephone spider. In 2017, he and his company, PeRoBa Unternehmensberatung GmbH, were one of the very first to develop a software that made it possible to carry out fully remote audits using data glasses. The constantly evolving software, iVision®, is now also on the market for all commercially available mobile devices and is very popular with customers.

Afterwards the reader finds a detailed practical example and an interesting cost comparison between a classic on-site audit and a remote audit.
