VDA 6.3 – is it time for the 2023 upgrade?

The VDA published the new Volume 6.3 Process Audit. So, the 4th revised version of this Volume is now available.

The first obvious modification of the new Volume was apparent right away after receiving it without having to read any of its contents. The 2016 edition had 204 pages whereas the present 2023 edition has merely 99 pages.

Irrespectively of the page count, the following topics had undergone modifications:

  • There were contentual adjustments regarding VDA methods in terms of SPICE® and Maturity Level Assurance for new parts.
  • Requirements with regard to purchasing activities were updated in P3 and P4.
  • Software aspects were included in the questionnaire.
  • Topics covered by ISO 19011 were removed.
  • The evaluation of the transport and parts handling was omitted.
  • Supplementary information on auditors and on remote audits was included.
  • Besides, further detailed itemizations, such as on the number of questions, etc., took place.

Those changes had been realized, to be sure, but issues such as the following ones had remained the same:

  • Classification rules
  • The structure of the questionnaire
  • The Turtle Model
  • (Down)grading rules
  • And further detailed itemizations …

It is very relevant that these points were also published in the VDA 6.3 SIs & FAQ. The current version dated January 2023 can be downloaded on the VDA website at the following link: https://vdaqmc.de/fileadmin/redakteur/Publikationen/VDA_Band_SI_FAQ/SIs_und_FAQs_VDA-Band_6.3_Englisch_2023.pdf.

This publication has been binding starting from January 2023.

The VDA 6.3 Potential Analysis (in the P1 Module of the Questionnaire) is a suitable tool for evaluating and revaluating suppliers in order to estimate supplier risks. Furthermore, the potential analysis is suitable for assessing risks with regard to existing suppliers, new sites, new technologies, or new products.

The result may serve as the basis for decisions on awarding purchasing scope contracts and for estimations on the quality capability of the site.

Business Hero Award 2022

On 15.07.22 the spectacular evening gala event for the Business Hero Award 2022 took place in Heide. The winners were invited to the presentation of the prizes and their acceptance.

It was a special pleasure and honor for the managing partner of PeRoBa Unternehmensberatung GmbH to accept the award on the stage of the event.

According to Business Hero: “The Business Hero Award honors companies that prove themselves in their nominated category as future thinkers and visionaries. Categories include Vision, Tech, Innovation Hero, Woman Power and Sustainability, among others. The evaluation is carried out by a jury of experts who evaluate the company and the submission of the companies.” [Source]

On stage, Dr. Scherb informed the entrepreneurs present about the rough corporate purpose of PeRoBa. A relevant lecture element, which Mr. Scherb regularly uses, is the involvement of the participants in the lecture process. This was also done with the Business Hero by asking all entrepreneurs whose company has a certification or will need it soon.

Almost all those present responded as a response. Based on this feedback, the question followed as to which of the managing directors present would enthusiastically take over the resulting tasks and management reviews. Now a cross-room murmur could be heard. Probably none of the managing directors would like to take on this requirement.

This example has shown that although there is a desire for certification, there is a lack of motivation to implement it.

This is one of the interfaces at which PeRoBa Unternehmensberatung GmbH can successfully start in order to improve the understanding and effectiveness of the management systems – both for the “top management” – the company leaders, as well as for the employees.

One possibility is the further development into an agile management system with concrete added value for all participants in a company, such as a meaningful dashboard system for the managing director up to a maturity level system about the effectiveness within the company. As a result, an ROI can be displayed for the management system, among other things.

We can support this by using innovative tools, such as our in-house development iVision® to carry out remote audits. The added value of such workcan also be an alternative solution in other areas, such as the upcoming Supply Chain Act, to meet legal and specific customer requirements.

After further explanatory examples, Dr. Scherb said goodbye to the stage to the applauseof the participants present. In the subsequent get-together, many interesting and exciting conversations were held and new contacts were made.

Introducing TISAX® successfully in your company

Your customer wants you to prove that you have your TISAX® label? What does that mean, why is it necessary, and how do you tackle this in your company?

 

Information security is an important factor when it comes down to customer supplier relationships. Threats to digital infrastructure such as hacker attacks have increased strongly. TISAX® (»Trusted Information Security Assessment Exchange«) is an assessment and exchange mechanism, and it serves as evidence guaranteeing IT security standards. The ENX Association, an organization in the context of which European automotive manufacturers, subsuppliers, and associations have been partnering, is behind TISAX®.  

 

If you are working as a supplier in the automotive sector, your customers may request since 2017 that you account for having your TISAX® label pursuant to VDA-ISA (an information security assessment). VDA-ISA is a standard for supply chains in the automotive sector and was developed by the VDA, the (German) Automotive Industry Association in order to protect customer and supplier data and information.

 

TISAX® is aimed at ensuring a certain shared level and consistent requirements on information security and at being considered significant evidence thereof. Why is TISAX® so important? Subsupplier companies within the automotive sector need to establish an information security management system (ISMS) in order to meet the requirements of their customers. The role of TISAX® as evidence thereof is becoming more and more important here in order to obtain further orders and to prevent getting delisted.

 

First you register online as a TISAX® participant on the ENX platform. The actual assessment will come after that, and finally you will obtain the TISAX® label after passing the examination. The audit process is based on audit objectives, scopes, areas of application, and locations. As a rule, your customer company which wants you to have a TISAX® label will determine the audit objective. For instance, the protection of prototype parts and components might constitute an audit objective.

 

PeRoBa supported a medium-sized company successfully in introducing TISAX®. We gave advice and support to this machine manufacturer from the automotive subsupplier industry for approximately one year. Our motto was about establishing »as many additional regulatory measures as necessary and as few additional regulatory measures as possible« for this process, and our approach paid off. Our customer passed the assessment at the very first attempt without any deviations. The certification auditor confirmed that only very few companies managed to succeed in this manner and especially so the first time around. Our client was delighted about that and especially about obtaining their TISAX® label.

The auditing topic is becoming more and more important both for auditees and audit initiators. That is also due to legal and regulatory requirements, among other things.

The requirements based on different standards constitute supplements to that. They are mainly based on DIN EN ISO 9001:2015, which gets relatively quickly supplemented by IATF/16949 right up to 14001:2015 on environmental protection.

Remote auditing solutions may very well gain more significance, especially when it comes down to the areas of safety, security, and data privacy, for instance pursuant to ISO 27001.

The target group for remote audits is varied. There are different possibilities and scenarios for actually applying them. Often times, the expression “auditing tourism” gets used at the premises of suppliers, which means that audits are taking place almost weekly over there. Efforts at suppliers’ premises can be significantly reduced through remote audits.

They will also provide assistance when, for instance, a specialist needs to participate during part of an audit. In this manner, the entire traveling time to the auditing location and back can be saved, and complete participation in the audit is no longer necessary either, which entails further savings.

Remote audits may also be used during customary control audits, and the expenditure of time is not as intense as during a complete audit either, especially due to the traveling time saved.

iVision® Remote Audit is a software solution for performing audits pursuant to DIN EN ISO 19011. It may be integrated in existing IT landscapes via smartphone / tablet cameras.

iVision Audit is a remote auditing solution that makes for a new basis for conducting audits.  The auditor or the specialist performs the audit on their computer at the location where they are based. It needs to be agreed in advance whether a co-auditor is used on-site or if the auditee deploys an employee as a co-auditor.

Because of the smartphone the co-auditor is wearing, the auditor can likewise hear and see what the co-auditor is hearing and seeing. As a supplement to that, evidence may be created, allocated and matched accordingly based on a checklist that has been uploaded beforehand, and the auditor can give additional information or instructions to the co-auditor.

Auditing evidence may be documented through image and / or video as well as text so that it can be documented in the auditing report afterward. The assessment by the auditor will either take place right away or in the aftermath together with the report creation.

Of course, a respective role and user conception has been put in place for several clients / auditors. Deployment of the software is also feasible while completing utilizing the client’s IT. Data is transmitted and stored in an encrypted manner right up to the optional supplementation of an automated report creation. The term “energy management” is used nowadays in daily life for a broad range of measures and activities from monitoring up to controlling, for example.  

In the 80s, quality management was the first basis for defining standards based on supplementary management methods. The first version of the energy management standard, the DIN EN ISO 9001:1994 was adopted in 1994. It served as the basis of the environmental management system DIN EN ISO 14001. The energy management standard DIN EN ISO 16001:2009 was adopted in 2009 and replaced by the DIN EN ISO 50001 in April 2012.

DIN EN ISO 50001:2018-12

The draft of the revised version of ISO 50001 was published in September 2017. Probably the new version will be published in this year.

The most important changes are, as follows:

ISO 50001 will be converted to a high level structure

  • A risk-based approach will be adopted
  • The corporate environment will be strengthened by the influence of context and of interested parties
  • Targets and their measurement will be focused on
  • A communication strategy will be adopted
  • There won’t be any more energy management officers. In the future, top management will be held accountable. An energy management team will be appointed
  • Energy management is supposed to be continually improved

The current version of the standard, the “DIN EN ISO 50001:2018  can be ordered from the Beuth publishing house.

For example, SiMon

SiMon is a freely programmable control framework of the xNet GmbH, which monitors and controls energy management systems in a smart manner. This software can be used for single-family houses, larger residential facilities, business units or local heating networks. This has already been proven by multiple installations since 2014.

The system is able to collect as many data points as needed in real time. But the great advantage is the integrated self-learning forecast function, which is based on artificial intelligence. Taking into account historic and forecast data, prognoses can be made on the individual needs of the connected consumers, for example when it comes down to energy networks. Thus, optimized cost-effective provision can be made sure of.

Interaction with supplementary modules, like, for example, a calculation of the solar position or the weather forecast insures that facilities can be operated at maximum efficiency. Thus, such software can be used optimally by end consumers, network operators, planners and energy consultants.  

Therefore, we applied the requirements of the standard in order to provide for a practice-oriented tool and solution. As the new standard is supposed to be published this year, a certification based on the strategic approach of the xNet company is scheduled for the time after the publication of the new standard, among other things. But the requirements of the new standard and the changes that are to be expected had already been implemented and were eventually also audited based on the SiMon software.

Due to different points of view, the issue of auditing is becoming more and more important both for the audited parties and the initiators of the very audits. The reasons for that consist in the increasing numbers of audits, among other things.
The requirements of the different standards are supplementary to that. Mostly, they are based on DIN EN ISO 9001:2015 but they are relatively quickly supplemented by specified trade or industry standards, like, for example, IATF/16949 up to standard 14001:2015 on environmental protection.
Alternative auditing solutions can gain significance especially in the ecological department for life cycle assessments according to ISO 14040. The following briefly depicted scenarios are referred to time and again:

  • Auditing tourism: A supplier is audited almost every week.
  • A specialist is needed for an audit and must make the entire amount of time for the journey to the destination and the return as well as for participation in the complete audit despite their limited participation assignment.
  • Controlling audits need to be performed. The time requirements for these are not as intense as for complete audits but the efforts including traveling time are identical nonetheless.
  • For an audit abroad lasting 2-3 days, the auditor respectively the auditing team will be under way for an entire week including the journey to the destination and the return.
  • And many things more.

If you consider that “solely” one of these points applies to your situation, the utilization of our solution can help you to a considerable extent yet. This is especially so as the new ISO 19011:2018 already makes reference to remote audits and states that they are supposed to be adequate and well-balanced taking into account risks and chances.

The iVision Audit is a remote audit solution which provides a new basis for the performance of audits. The auditor or the respective expert conducts the audit on their home computer. It needs to be agreed in advance whether a co-auditor will be used on-site or whether the audited company will deploy a coworker as a co-auditor.
The co-auditor will be wearing data glasses through which the auditor will be able to see and hear exactly what the co-auditor will be hearing and seeing on-site. As a supplement to that, the auditor can supply additional information or instructions to the co-auditor via augmented reality.
Audit evidence can then be documented by means of photos and / or videos in order for them to be recorded in the subsequent audit report. The auditor can either assess the entire situation and the proof right away or later while creating the report.
Of course, corresponding conceptions with regard to different roles and users will be on file when it comes down to several clients / auditors. Data will be transmitted and stored in an encrypted manner, which will also hold true up to supplements to automated report creation. As another optional functionality, the system can be evaluated based on the audit and the respective underlying standards.
For that, the coverage rate of the audit scope will be taken as a basis and assessed in an automated manner based on the evaluation. Clients of PeRoBa Unternehmensberatung (Management Consultancy) GmbH (LLC) already know this system from our audit reports.

Guidelines on auditing management systems – Process-oriented auditing

The new ISO 19011:2018 standard was published in July 2018. The German version DIN EN ISO 19011:2018 appeared in October 2018.

ISO 19011 provides instructions on managing and directing an audit program, on planning and performing a management system audit as well as on the competence and assessment of an auditor / audit manager and an audit team.

The structure and new contents of DIN EN ISO 19011:2018

First, it should be noted that the standard doesn’t follow the so-called high level structure, meaning the structure with 10 chapters analogously to ISO 9001. The standard continues to have 8 chapters.

The chapters are still, as follows:

▪              Passage 2            Normative references (none)
▪              Passage 3            Terms and definitions
▪              Passage 4            Principles of auditing
▪              Passage 5            Managing an audit program
▪              Passage 6            Conducting a management system audit
▪              Passage 7            Competence and evaluation of management systems auditors and of audit teams
▪              Annex A provides additional guidance for auditors on planning and conducting audits.

Auditing risks and chances

In the chapter on principles of auditing, this passage has been supplemented by a new demand for a “risk-based approach”, which stretches right through the entire guidelines.

The chapter on the “audit program“ was structured in a new way and supplementary instructions with regard to risks were included. The audit program is more strongly connected to the strategic focus of the company. Furthermore, the requirements from DIN EN ISO 9001 like, consideration of the context of the organization, of identified risks and chances and the objectives of the organization are expanded.

The audit program is supplemented by instructions on management, especially of existing risks and on the performance of audits with regard to digital media. PeRoBa® auditors have been using data glasses, so-called smart glasses for audits for quite some time. This is supposed to serve the reduction of audit expenditures during follow up audits or the involvement of specialists.

In passage 5, the Plan – Do – Check – Act cycle by Deming is presented. Likewise, the coordination of audit activities is dealt with.
In Annex A, there are supplementary explanations, like, for instance, on the following:

  • The principle of the process approach to auditing
  • The term „Professional judgment“ is new
  • Auditing compliance regulations
  • Auditing leadership and commitment
  • Auditing integrated management systems
  • Audit of supply chain
  • Auditing virtual activities and locations

Requirements on auditors are more specified. The issues of knowledge, competence and skills all around the specialist topic of “internal audits” including the planning and performance of audits and follow-up activities are emphasized. Moreover, qualities like process knowledge, handling new media safely, confidence when it comes down to methods and reliable applications of professional judgment are required.

Personal demeanor, radiance and charisma as well as their direct contact to experts, executives and top management are supplementary requirements for auditors so that they can act as ambassadors for the management system. Besides, they need persuasiveness and a wealth of ideas on further developing the management system.
